Terms of service

Last updated: 27 September 2026

These terms apply when you visit our website or use the Piphire service. Please read them carefully. By using the website or the service, you agree to them.

On this page

1.Agreement to these terms

These terms are an agreement between you and Piphire ("Piphire", "we", "us" and "our"). If you use the service on behalf of an organisation, you confirm that you have authority to accept these terms for it, and "you" refers to that organisation.

If you have signed a separate written agreement with us, that agreement applies where it differs from these terms.

If you do not agree to these terms, do not use the website or the service.

2.The service

Piphire is software that helps hiring teams import candidates, screen resumes against their criteria, pre-screen candidates, run assessments and interviews, and build shortlists.

We may add, change or remove features over time. We will give reasonable notice of any change that materially reduces what the service does.

3.Accounts

  • You must give accurate information when you create an account and keep it up to date.
  • You are responsible for keeping login details confidential and for all activity under your account.
  • You are responsible for the people you invite to your account and for the access you give them.
  • Tell us promptly if you suspect that someone has used your account without permission.

4.Your responsibilities

You agree to use the service in line with the law that applies to you, including employment, equal opportunity, anti-discrimination, privacy and communications law.

  • Set screening criteria that are lawful and relevant to the role.
  • Tell candidates how their information will be used, and obtain any consent the law requires, including for calls, messages, recordings and automated assessment.
  • Review the results the service produces before you act on them.
  • Contact candidates only for genuine hiring purposes.

5.Candidate information and your data

You keep all rights in the information you and your candidates put into the service. You give us permission to use it only to provide, secure and support the service for you.

You confirm that you have the right to share this information with us. We process it on your behalf, under your instructions, and as described in our privacy policy.

When your account ends, you can ask us to delete or return your data. We will do so within a reasonable period, unless the law requires us to keep it.

6.Scores, rankings and recommendations

The service produces scores, rankings, summaries and recommendations using your rules together with automated and AI-assisted tools. These results support your decisions. They do not make them.

Results can be incomplete or wrong. You are responsible for reviewing them and for every hiring decision you make. We do not guarantee that any candidate is suitable, or that information a candidate provides is accurate.

7.Acceptable use

You must not:

  • Use the service to discriminate unlawfully against any person.
  • Send spam, or contact people who have asked not to be contacted.
  • Upload malicious code, or attempt to break, overload or gain unauthorised access to the service.
  • Copy, resell or reverse engineer the service, except where the law allows this despite these terms.
  • Use the service to build a competing product.
  • Use the service for anything unlawful, harmful or misleading.

8.Fees and payment

Paid plans are charged at the prices and on the billing terms shown to you when you buy, or set out in your order.

  • Fees are payable in advance and are non-refundable, except where these terms or the law say otherwise.
  • Prices do not include taxes, which we will add where they apply.
  • We may change prices for a future billing period by giving you notice in advance.
  • If a payment is overdue, we may suspend the service until it is paid.

9.Free trials

We may offer a free trial or a free plan. We can set limits on it, and change or end it at any time. Free access is provided as it is, without any commitment on availability or support.

10.Intellectual property

We own the service, the website and everything in them, including the software, design, text and trade marks. These terms give you a right to use the service while your account is active. They do not transfer any ownership to you.

If you send us feedback or suggestions, we may use them without any obligation to you.

11.Confidentiality

Each of us may receive confidential information from the other. The receiving party will use it only for the purpose of these terms, will protect it with reasonable care, and will not disclose it except to people who need it and are bound to keep it confidential, or where the law requires disclosure.

12.Third-party services

The service can connect to services run by other companies, such as job portals, messaging apps, telephony providers and professional networks. Your use of those services is governed by their own terms. We are not responsible for them, and they may change or stop working with our service.

13.Availability

We work to keep the service available and reliable, but we do not promise that it will be uninterrupted or free of errors. We may carry out maintenance from time to time, and we will try to schedule planned work for quieter periods.

14.Disclaimers

To the extent the law allows, the service is provided "as is" and "as available". We give no warranties beyond those stated in these terms, including any implied warranty of quality, fitness for a particular purpose or non-infringement.

15.Limitation of liability

To the extent the law allows:

  • Neither of us is liable to the other for loss of profit, revenue, business or data, or for any indirect or consequential loss.
  • Our total liability under these terms is limited to the fees you paid us for the service in the 12 months before the event that gave rise to the claim.

Nothing in these terms limits liability that cannot be limited by law.

16.Indemnity

You will cover our losses and costs arising from a claim by a third party that results from your breach of these terms, your breach of the law, or the information you put into the service.

17.Suspension and ending the agreement

  • You can stop using the service and close your account at any time.
  • We may suspend or close your account if you breach these terms, if you do not pay fees when due, or if we need to do so to protect the service or other users.
  • We will give you notice and a chance to fix the problem where that is reasonable.

When the agreement ends, your right to use the service stops. The sections that by their nature should continue, such as those on intellectual property, confidentiality and liability, stay in force.

18.Governing law and disputes

These terms are governed by the laws of India. The courts of Hyderabad, Telangana have exclusive jurisdiction over any dispute arising from them.

Before starting formal proceedings, each of us agrees to try to resolve the dispute by discussing it in good faith.

19.Changes to these terms

We may update these terms from time to time. We will post the new version on this page and change the date at the top. If a change is significant, we will give you notice in advance. If you keep using the service after a change takes effect, you accept the updated terms.
